IV-LEAD Email Signatures
Documentation
Build email-safe signatures for HubSpot and Gmail — English and Hebrew — then roll one brand standard across the whole team.
How it works
Two parts, one standard. The free public generator builds an email-safe signature right in the browser — no account, no sign-in, nothing stored. The HubSpot app handles the team: connect a portal, set one brand kit, and hand every teammate a secure link to build their own on-brand signature.
The app helps your team install a consistent signature themselves. It never silently changes anyone's signature for them.
Get started
- Install the app into your HubSpot account from the marketplace listing or your install link.
- Authorize the connection. HubSpot shows exactly what the app can access before you approve — nothing happens without your say-so.
- Open the app. HubSpot does not give apps a left-hand navigation entry, so this is the step people get stuck on. Click the Marketplace icon in the top bar, choose View all, and pick IV-LEAD Email Signatures from your App Homes. The confirmation page shown right after install also links straight there.
- Set your brand kit: company name, colors, address, default template, and the links your team should carry.
- Share the builder link. Each teammate fills in their details and copies a finished signature straight into HubSpot or Gmail.
Bookmark the app page once you have opened it. The “Your recently visited apps” shortcut in that same menu only lists apps you have already opened, so it will not help you the first time.
What goes in a signature
Seven layouts. Classic, compact, campaign, card, modern, stacked and bold. Each one renders with your own details in a live preview before you pick, and a gallery shows all seven side by side.
- Two brand colours — a primary and an accent, used for rules, icon tiles and links.
- Contact icons for phone, email, website and address, drawn as white glyphs on a tile in your primary colour.
- Partner badges — up to four short credential lines, sixty characters each. Off by default.
- Optional photo, logo and campaign banner. The banner is a clickable image strip under the signature, swapped per campaign.
- A meeting link with a label you choose.
Icons are images, and many email clients block images by default. Every icon carries its own label as alternative text, so a blocked image degrades to the word it stands for — “Phone”, “Email” — rather than a broken box. Signatures stay readable either way.
What the app can access
Three read-only scopes — two required, one optional — plus the basic account information HubSpot grants every app. Nothing the app requests can change your users or your settings.
HubSpot's own consent screen groups these under labels such as “Manage and view your account settings” and “Basic HubSpot account information”. The first is HubSpot's label for the scope group that contains settings.users.read — we request only the read permission within it, and the app has no ability to change your settings.
- View users and their permissions (
settings.users.read, required) — used to display Team Health, verify that a caller belongs to the connected account, and verify super-admin status before brand-kit changes or disconnection. - View user records (
crm.objects.users.read, required) — used to tell active users from deactivated ones, so rollout totals count only people who still work with you, and to read a job title where somebody has set one. This is a CRM-object scope, but the object it reads is the user record — the people who hold a seat in your account — not contacts, companies, or deals. - Read meeting link metadata (
scheduler.meetings.meeting-link.read, optional) — used for one thing: prefilling a person's own HubSpot scheduling link into their own signature. HubSpot offers this permission on Professional-tier accounts only; on other plans it appears greyed out on the consent screen and cannot be granted at all. Declining it changes nothing else — the app installs and works identically, and that one field is typed by hand.
That's the whole footprint. The app cannot touch your contacts, companies, or deals, and requests no marketing, sales, one-to-one email, or mailbox access. The manifest also declares HubSpot's baseline oauth scope, which every HubSpot app is granted and which confers no access to data.
The full wording, including exactly which endpoint the optional scope calls and what is read from the reply, is in section 8 of the Privacy Notice.
Privacy & security
- The public generator assembles the signature in your browser. Signature field values and rendered signature HTML are not sent to us or stored by the application. Ordinary hosting and security logs are described in the app-specific Privacy Notice.
- HubSpot access tokens are encrypted before they're stored, and are used only for the connected-app functions described here: roster display, account-membership checks, and super-admin checks before protected actions.
- No tracking pixels. No contact or deal access. Disconnect whenever you want.

English & Hebrew
Every template ships in English and in right-to-left Hebrew, with proper bidirectional handling so mixed Hebrew-and-English lines render correctly in real email clients — not just in preview.
Desktop & mobile
Signatures are generated as email-safe HTML — table-based layout, inline styles, and web-safe fonts. The installation flows we document and test today are HubSpot and Gmail. Mobile is separate: the Gmail app, Outlook app, and iPhone Mail each keep their own signature setting, so the app gives you a plain-text version to paste on the device.
Disconnecting and uninstalling
Disconnect from inside the app
Open the app, go to Settings, scroll to Danger zone — disconnect this account, type DISCONNECT in the confirmation box, and choose Disconnect app. You must be a HubSpot super admin. This removes the usable OAuth values we hold, asks HubSpot to revoke the token, blocks further access to your portal, and marks your account for deletion.
Uninstall from HubSpot
Disconnecting removes the app from your Connected Apps list in HubSpot automatically — there is no second step, and you do not need to remove it manually. You can confirm it has gone under Settings → Integrations → Connected Apps.
You can reconnect later at any time; reconnecting is a fresh install and requires approving the permission again.
What this does to your data
What remains afterwards is your brand kit settings, any signatures you saved, signature status records, and the security audit log. No usable HubSpot credentials remain. To have the rest erased immediately rather than waiting for the deletion window, email support@iv-lead.com and we will delete them and confirm in writing.
One thing worth knowing: our database provider automatically keeps point-in-time recovery copies of its databases for a rolling seven-day period. This cannot be switched off. So when we delete your records from the live database, copies may persist in those snapshots for up to a further week before ageing out on their own.
See the Email Signatures Privacy Notice for the full retention explanation.
