HubSpot's views and filters let you slice your records down to exactly the set you need to work right now — and saving those views means your team opens HubSpot to their work instead of to a wall of noise. What's the difference between a view and a filter?

A filter narrows records to those matching conditions you set; a view is a saved combination of filters, columns, and sorting you can reopen any time. On any object's index page — contacts, companies, deals, tickets — you can filter by property values: lifecycle stage, owner, last activity date, deal stage, and so on. Stack a few filters and you've isolated a precise set, like "my open deals with no activity in 14 days." A view bundles that filter set together with the columns you care about and how the list is sorted, and saves it under a name. How do you build a useful saved view?

Start from the question a person needs answered every day, then filter, choose columns, sort, and save. Work backward from the daily job. A few examples of views worth building:

  • "My deals closing this month" — filter by owner is me and close date is this month, sorted by amount.
  • "Leads to call today" — filter by owner, lifecycle stage, and last contacted more than X days ago.
  • "Stale open deals" — filter by deal stage is open and last activity date more than 14 days ago, for the pipeline review.

Worked example: a rep used to open the full contacts list every morning and lose ten minutes hunting for who to call. How do you share views with the right people?

The trick for a healthy portal is to build a small set of standard team views — one good "my pipeline" view, one "unworked leads" view, one "accounts at risk" view — and share them so the whole team works from the same definition. That consistency matters: when every rep's "stale deal" means the same thing, your pipeline reviews stop being arguments about whose list is right. Just resist the urge to create dozens of overlapping views; a few well-named shared views beat a cluttered list nobody trusts.
