Customer retention and renewal systems in HubSpot, built for B2B SaaS
IV-Lead, a HubSpot Gold Solutions Partner in Tel Aviv, builds customer-retention and renewal systems in HubSpot Service Hub for B2B SaaS companies in Israel and abroad: a customer health score fed by product usage, a dedicated renewal pipeline, the workflows that catch churn early, and the two reports that put retention in the same meeting as new business.

What does a retention system in HubSpot consist of?
Four parts, and the order matters. A health score on the company record, calculated from four or five inputs with a clear source each: product usage synced from your product, support load and sentiment from Service Hub, the status of the champion contact, and commercial engagement. A renewal pipeline where every renewal is a deal with stages defined by what must be true 120, 90, 60 and 30 days before the renewal date. Workflows that watch the score, the champion and the calendar, and open a task for the owner before a manager is ever emailed. And two reports: renewals at risk by quarter, coloured by health, and health trend by owner.
Why do renewals slip quietly?
New deals get a pipeline, stages, a forecast and a weekly meeting. Renewals get a spreadsheet and a calendar reminder. A churning customer does nothing; they do less, and "less" does not create a record in the CRM unless you decide it should. The decision that fixes it is to treat the renewal as a deal with its own pipeline, and the customer's behaviour between renewals as the stages of that deal. After that it is configuration.
How IV-Lead builds it
| Step | What we do | What you get |
|---|---|---|
| 1. Signals | Connect product-usage data (integration or nightly sync), roll support data up to the company, define the champion-contact rule | The inputs a health score can trust |
| 2. Health score | Weighted score in a workflow or calculated property; previous score stored so change can trigger, not only level | One number per account, explainable to a CSM |
| 3. Renewal pipeline | Renewal deal created automatically at close; stages with exit criteria at 120/90/60/30 days | A forecastable retention pipeline |
| 4. Workflows | Score-drop alert, champion-change alert, calendar-overdue escalation, each opening a task before any manager email | Early warnings that people act on |
| 5. Reports and handover | Renewals at risk by quarter; health trend by owner; runbook in Hebrew and English | Retention in the same meeting as new business |
What it needs from HubSpot
Service Hub Professional includes the Customer Success Workspace and up to 50 health scores; Enterprise adds skill-based routing and higher limits on knowledge bases, help-desk spaces and macros, and the health-score cap stays at 50 (HubSpot pricing pages and knowledge base, checked 4 September 2026). On Starter a renewal pipeline is possible, since Starter allows two deal pipelines, but the health score, the alerts and the automatic renewal deal are workflows and calculation properties, which need Professional. We tell you which before you buy a seat.
Who this is for
B2B SaaS companies in Israel and abroad with annual or multi-year contracts, a customer-success team of any size, and product-usage data somewhere that is not yet in HubSpot. Also companies moving customer success out of spreadsheets for the first time.
Frequently asked questions
How do you build a customer health score in HubSpot?
Create a number property on the company record and calculate it in a workflow or calculated property from four or five inputs: product usage synced from the product, support load from Service Hub, champion-contact status from the contact record, and commercial engagement. Store the previous score so workflows can act on the change, not only the level.
Can you manage renewals in HubSpot Service Hub?
Yes, with a dedicated renewal pipeline. Create the renewal deal automatically when the original deal closes, define each stage by what must be true at that point before the renewal date, and let the health score and stage dates drive the alerts.
Which churn signals matter most in B2B SaaS?
Product usage and champion status. A drop in usage is the earliest signal; a champion leaving is the most decisive, and usage data will not show it. Support sentiment and commercial engagement add resolution but rarely change the answer on their own.
Should renewal reminders be automated?
Automate deal creation and the alerts. Leave stage movement and closing to a person. A renewal should move because the CSM confirmed something with the customer, not because a date passed.
Do we need Service Hub Professional?
For the Customer Success Workspace and native health scores, yes. The renewal pipeline and the workflows can be built on Sales Hub Professional; we say which you need before you buy.
